As a Customer Service Administrator, you will act as the first point of contact for clients, tenants, and contractors. The role requires strong communication and organisational skills to coordinate between different teams, resolve issues promptly, and maintain high levels of customer satisfaction while supporting the overall delivery of our services.

Office Cleaner

As we continue to grow, we are seeking an experienced Office Cleaner to join our friendly team at our Head Office in Southend-on-Sea.

Your responsibilities will include:

  • Hoovering carpets and floors

Client Accountant

The Job
Key responsibilities:

  • Overseeing the Accounting Function: Managing the day-to-day accounting operations, ensuring accurate financial reporting, and maintaining compliance with accounting standards and regulations.
  • Client Relationship Management: Building and maintaining strong relationships with clients, acting as a key point of contact for their accounting needs, and addressing any issues or concerns.
  • Financial Compliance and Risk Management: Ensuring compliance with all relevant accounting standards, regulations, and internal policies, as well as implementing risk management strategies to mitigate financial risks.
  • Financial Reporting: Ensure the integrity and timely delivery of internal and external financial reports including budgets and VAT reporting.
  • Service Charge Accounting: Prepare, coordinate and finalise service charge accounts including liaising with auditors, directors and property owners.
  • Ad-hoc Projects: Assist with financial integration of new sites, FTT preparation, ceased handovers and occasional out of the office client meetings.

The Ideal Candidate:

  • Proven experience in a senior client or property accounting role
  • Strong knowledge of property service charge accounting
  • Familiarity with property management software (e.g., MRI, TRAMPS, Yardi, or similar)
  • Excellent leadership and communication skills
  • Applicants must be either ACA or ACCA qualified

Reconciliation Analyst

The Reconciliation Analyst is responsible for ensuring the accurate reconciliation of bank accounts, client accounts, and internal financial systems within the property management business. The role supports financial integrity by identifying discrepancies, resolving reconciling items, and ensuring that financial records align across multiple systems within strict reporting timelines.

The Job

Key responsibilities:

  • Reconcile client money accounts in line with internal controls, regulatory requirements, and company policy.
  • Reconcile rental income, tenant receipts, landlord payments, and associated control accounts.
  • Review and reconcile property-level cashbooks across managed portfolios.
  • Ensure all transactions posted within the property management system are accurately reflected in the finance ledger.
  • Investigate unallocated cash, suspense items, tenant ledger discrepancies, landlord ledger variances, and service charge balance differences.
  • Support the reconciliation of deposit accounts, contractor payments, and landlord/client disbursements where applicable.
  • Work across multiple properties, entities, and bank accounts, ensuring funds are correctly separated and accounted for.
  • Assist in preparing supporting schedules for client reporting, year-end service charge accounts, and external audits.
  • Help ensure compliance with any relevant client money protection, leasehold, or property accounting regulations applicable to the business.
  • Liaise with property managers and operational teams to resolve issues relating to rent postings, service charge demands, receipts, refunds, and supplier payments.
  • Support the transition and reconciliation of balances during new property mobilisations, portfolio transfers, or system migrations.

Skills and Experience

  • Ideally studying toward or qualified in a recognised accounting qualification such as ACCA, CIMA, or AAT.
  • Degree in Accounting, Finance, or a related discipline (desirable but not essential).
  • Previous experience in a reconciliation, finance, or accounting role ideally within property management, real estate or client accounting
  • Strong understanding of bank reconciliations and financial controls.
  • Experience reconciling high-volume transactions across multiple systems.
  • Familiarity with client money, service charge accounting, and rent accounting is highly desirable.
  • Excellent attention to detail and strong analytical skills.
  • Ability to investigate discrepancies and identify root causes in a timely manner
  • Strong organisational skills with the ability to manage time-sensitive tasks and deadlines.
  • Intermediate to advanced Microsoft Excel skills.

As we continue to grow, we are searching for an enthusiastic and experienced Property Manager to join us at our regional office in Leeds.

You will collaborate with a skilled and experienced team, leveraging your expertise in residential block and estate management to oversee a portfolio of properties and deliver outstanding client service.

Your responsibilities will include:

  • Managing a diverse portfolio of residential blocks and estates, including new builds, purpose-built, and converted properties
  • Providing expert advice and guidance to clients and residents, ensuring their needs are met efficiently and professionally
  • Organising and attending client and resident meetings regularly, including Annual General Meetings (AGMs) and Directors’ meetings

Contracts Manager

The Role

You will play an important role in delivering maintenance, repair, and refurbishment works across our managed portfolio. You will plan and manage works from inception to completion, ensuring projects are delivered safely, on time, within budget, and to the highest standard. This role is primarily site-based and will require regular travel to properties within the portfolio.

Key Responsibilities

  • Plan, manage, and deliver facilities and refurbishment projects from survey through to completion, including specifications and scope of works
  • Obtain and review quotations to ensure cost-effectiveness and compliance with company procedures
  • Schedule and oversee works, ensuring delivery to agreed timelines, quality standards, and minimal disruption
  • Monitor progress, budgets, and project performance, resolving on-site issues and maintaining accurate records
  • Coordinate and manage contractors and suppliers, ensuring compliance with health & safety legislation, risk assessments, and company standards
  • Carry out site inductions, inspections, and audits to ensure workmanship and compliance, addressing any issues as required
  • Support planned and reactive maintenance programmes, providing technical guidance to internal teams
  • Identify opportunities for efficiency, sustainability, and cost savings across projects
  • Ensure all works comply with statutory requirements, company procedures, and best practice
  • Promote a strong health & safety culture, ensuring RAMS are in place and incidents or risks are appropriately managed

What We’re Looking For

  • Experience in contracts, facilities, or property project management
  • Previous experience within property or block management
  • Knowledge of building maintenance and construction works
  • Strong organisational and problem-solving skills
  • Understanding of Health & Safety and CDM regulations
  • Relevant qualifications (e.g. SMSTS, IOSH or equivalent)
  • Strong negotiation and problem-solving skills.
  • Competent in Microsoft Office
  • Full UK driving licence and willingness to travel between sites
